Cypher 2026 Participant Terms and Conditions
7–9 October 2026 | KTPO, Whitefield, Bengaluru
Cypher 2026 ("Cypher" or the "Event") is organised by AIM Media House Private Limited, operating under the brand name AIM Media House ("AIM", "we", "us" or "our"). These Terms and Conditions apply to every person registering for, purchasing a ticket for, receiving an invitation to, or attending Cypher ("Participant", "Attendee", "you" or "your").
By registering for Cypher, purchasing or accepting a ticket, accepting these Terms and Conditions, or entering the Event venue, the Participant confirms that they have read, understood and agreed to comply with these Terms and Conditions and AIM’s Privacy Policy.
1. Eligibility and Age Restriction
1.1 Cypher is a professional business event intended exclusively for persons who are 18 years of age or older.
1.2 Minors and persons below the age of 18 are not permitted to register for or attend the Event, whether accompanied by a parent, guardian or any other adult.
1.3 AIM may request valid government-issued photographic identification to verify the Participant’s identity and age.
1.4 AIM reserves the right to refuse admission without refund where a Participant is unable to provide satisfactory proof of identity or age.
2. Registration and Acceptance
2.1 Registration for Cypher is subject to availability of tickets, successful payment, verification of the information provided, satisfaction of the eligibility requirements applicable to the selected ticket category, and final acceptance by AIM.
2.2 Submission of a registration form, receipt of a payment acknowledgement or payment of the ticket price does not create an unconditional right to attend the Event.
2.3 AIM reserves the final right to accept, reject, suspend or cancel any registration or participation where:
- the information provided is false, incomplete, misleading or unverifiable;
- the Participant does not meet the eligibility requirements;
- the registration appears fraudulent, unauthorised or made for resale;
- the ticket, badge or registration has been transferred or shared without approval;
- the Participant or their organisation has previously violated AIM’s policies;
- the Participant’s admission may create a safety, security, legal, reputational or operational concern; or
- AIM determines that admission would not be in the interests of the Event, AIM, its attendees, employees, speakers, sponsors, exhibitors or partners.
2.4 AIM’s decision regarding registration, admission and participation shall be final, subject to applicable law.
3. Accuracy of Information
3.1 Participants must provide complete, accurate and current information during registration.
3.2 Participants must not register using another person’s identity, professional details, email address, telephone number or organisation information.
3.3 AIM may request supporting documents to verify a Participant’s name, age, organisation, designation, professional status, ticket category or other registration information.
3.4 AIM may cancel a registration or deny admission without refund where the information submitted is inaccurate, misleading, fraudulent or unverifiable.
4. Tickets, Badges and Admission
4.1 Each ticket and Event badge is issued exclusively to the individual whose name and information appear on the confirmed registration.
4.2 One ticket or badge permits entry only to the registered Participant who purchased or was officially assigned that ticket or badge.
4.3 A Participant must carry a valid government-issued photographic identity document, the Event ticket, QR code or registration confirmation, and any document required for the applicable ticket category.
4.4 The name on the Participant’s identity document must match the name appearing on the registration and Event badge.
4.5 Participants must wear and visibly display their Event badge at all times while inside the Event venue.
4.6 Admission remains subject to identity verification, security screening, venue capacity and compliance with these Terms and Conditions.
5. Strict Prohibition on Badge Sharing and Exchange
5.1 The exchange, sharing, lending, sale, resale, duplication, copying, alteration, transfer or unauthorised use of any Event ticket, QR code, wristband, access credential or badge is strictly prohibited.
5.2 A badge may be used only by the registered Participant to whom it has been officially issued.
5.3 A Participant must not:
- give their badge to another individual;
- allow another individual to enter or re-enter the Event using their badge;
- exchange badges with another Participant;
- use a badge issued in another person’s name;
- duplicate, reproduce or alter a badge or QR code;
- sell or offer a badge for sale;
- collect additional badges for unauthorised persons; or
- assist any person in gaining unauthorised entry to the Event.
5.4 Event badges are non-transferable unless AIM has expressly approved a name change or ticket transfer in writing before the Event.
5.5 AIM may conduct identity and badge verification at any point during the Event, including at venue entrances and exits, session halls, exhibition areas, networking areas, meal counters, workshops, restricted-access areas and re-entry points.
5.6 Where a badge is found to have been shared, exchanged, transferred or misused, AIM may immediately confiscate or deactivate the badge; deny entry or re-entry; remove all persons involved from the venue; cancel the relevant registration without refund; prohibit the registered Participant and unauthorised user from attending future AIM events; blacklist or ban the organisation or company associated with the violation from participating in future AIM events, sponsorships, partnerships or registrations; and take legal or other appropriate action where fraud, impersonation, trespass or unlawful entry is involved.
5.7 These consequences may apply to the person to whom the badge was originally issued, the person using or attempting to use the badge, any person who assisted in the misuse, and the organisation or company whose employees, representatives or attendees were involved.
5.8 No refund, credit or compensation shall be provided where a registration or badge is cancelled due to badge sharing, exchange, misuse, impersonation or unauthorised entry.
5.9 AIM’s decision regarding badge misuse, removal and future participation shall be final for operational and security purposes.
6. Ticket Cancellation and Refund Policy
6.1 All ticket bookings are final.
6.2 Once a ticket has been booked, confirmed or paid for, it cannot be cancelled by the Participant.
6.3 Tickets are non-refundable, except where a refund is expressly required under applicable law.
6.4 No refund, credit or compensation will be provided due to inability to attend, change in personal or professional plans, illness or personal circumstances, travel delays or cancellations, scheduling conflicts, failure to make travel or accommodation arrangements, late arrival, partial attendance, dissatisfaction with an individual session, inability to access a particular session due to capacity restrictions, failure to provide valid identification, refusal of admission due to breach of these Terms, or failure to attend the Event.
6.5 Non-attendance or failure to collect the Event badge will be treated as a no-show and will not qualify for a refund or credit.
6.6 Convenience fees, payment-gateway charges, applicable taxes and other transaction-related charges shall be non-refundable to the extent permitted by law.
7. Ticket Transfers and Name Changes
7.1 A ticket is non-transferable unless AIM expressly approves a transfer or name change in writing.
7.2 Any permitted transfer request must be submitted to info@aimmediahouse.com no later than seven working days before the Event.
7.3 AIM may require written confirmation from the original registrant, complete information about the replacement Participant, valid identification, proof of eligibility, and payment of any applicable transfer or administrative charges.
7.4 A ticket may ordinarily be transferred only once.
7.5 Complimentary, speaker, awardee, student, media, jury, sponsor, partner, discounted, promotional and invitation-only passes cannot be transferred unless AIM provides written approval.
7.6 No transfer or name change shall be valid unless confirmed by AIM in writing and reflected in the Event registration system.
7.7 An informal transfer between individuals, including employees of the same organisation, will constitute badge misuse under these Terms.
8. Ticket Categories and Benefits
8.1 Access, seating, meals, workshops, lounges, networking areas, merchandise, certificates and other benefits will depend upon the ticket category purchased.
8.2 Participants are responsible for reviewing the inclusions and exclusions of their ticket category before completing the registration.
8.3 A ticket does not guarantee access to every session, speaker, workshop, networking opportunity, meeting, lounge, experience or restricted area unless expressly stated.
8.4 Certain workshops, closed-door discussions, award ceremonies, networking activities or satellite events may require separate registration, approval, invitation or payment.
8.5 Unused benefits cannot be exchanged for cash, refunds, credits or benefits under another ticket category.
9. Event Programme and Changes
9.1 The Event agenda, session timings, speakers, moderators, sponsors, exhibitors, topics, activities, formats and experiences are subject to change.
9.2 AIM may add, replace, reschedule, modify or cancel any speaker, session, activity or programme component without prior notice.
9.3 Such changes will not entitle a Participant to a refund or compensation where the Event substantially proceeds.
9.4 AIM does not guarantee the attendance of any particular speaker, sponsor, exhibitor, guest or organisation.
9.5 Views expressed by speakers, panellists, sponsors, exhibitors and Participants are their own and do not necessarily represent the views of AIM.
10. Event Postponement, Relocation or Cancellation
10.1 AIM may postpone, reschedule, relocate, shorten, extend or change the format of the Event where reasonably necessary for operational, safety, regulatory, commercial or other reasons.
10.2 AIM may convert all or part of the Event into an online, hybrid or alternative format where conducting the Event in its original format is not reasonably practicable.
10.3 Where the Event is postponed or rescheduled, the Participant’s registration will ordinarily remain valid for the revised dates.
10.4 Where the Event is relocated to an alternative venue, the Participant’s ticket will remain valid for the revised venue.
10.5 If AIM permanently cancels the entire Event without providing a postponed, replacement, online or materially equivalent Event, AIM will communicate the applicable refund, credit or alternative arrangement to registered Participants.
10.6 AIM shall not be responsible for any travel, accommodation, transportation, meal, visa or incidental expenditure incurred by a Participant due to an Event change, postponement, relocation or cancellation.
11. Force Majeure
11.1 AIM shall not be liable for any failure, delay, postponement, change or cancellation caused by circumstances beyond its reasonable control.
11.2 Such circumstances may include natural disasters, fire, flood, earthquake or extreme weather, epidemic, pandemic or public-health emergency, war, invasion, terrorism or civil unrest, strike, labour disruption or bandh, government order or restriction, court or regulatory direction, transportation interruption, venue unavailability, utility, telecommunications or technology failure, security threat, death, illness or unavailability of key speakers or personnel, or any event that makes the Event unlawful, unsafe, impracticable or commercially unreasonable.
11.3 AIM may provide an alternative date, venue, format, ticket credit or other reasonable arrangement based on the circumstances and applicable law.
12. Venue Access, Seating and Capacity
12.1 Entry to the Event venue and individual halls, workshops, lounges and sessions is subject to security checks, operational restrictions and permitted capacity.
12.2 Entry to sessions will generally be provided on a first-come, first-served basis unless reserved seating or prior registration applies.
12.3 A valid Event ticket does not guarantee a seat in any particular session or hall.
12.4 AIM may stop entry to a hall or session once its permitted capacity has been reached.
12.5 Participants should arrive sufficiently early for sessions they wish to attend.
12.6 AIM will not be responsible where a Participant cannot enter a session due to capacity restrictions, late arrival or security procedures.
13. Participant Conduct and Decorum
13.1 Participants must behave professionally, respectfully, responsibly and lawfully throughout the Event.
13.2 Participants must comply with these Terms and Conditions, instructions issued by AIM, instructions of venue staff and authorised security personnel, applicable laws and regulations, fire, health, safety and emergency procedures, and additional venue or Event policies communicated by AIM.
13.3 Participants must maintain appropriate decorum when interacting with speakers, sponsors, exhibitors, Event staff and other attendees.
13.4 The following conduct is strictly prohibited:
- threatening, abusive, insulting or intimidating behaviour;
- violence, attempted violence or threats of harm;
- harassment, bullying or discrimination;
- unwelcome physical contact or sexual attention;
- stalking or deliberate intimidation;
- disruption of talks, panels, workshops or Event activities;
- theft, fraud, impersonation or misrepresentation;
- damage to venue, Event, sponsor, exhibitor or attendee property;
- possession of weapons, explosives or dangerous materials;
- possession, distribution or consumption of illegal substances;
- intoxication that creates a disturbance or safety risk;
- unauthorised solicitation, canvassing or commercial activity;
- unauthorised protests or demonstrations inside restricted Event areas;
- recording in prohibited areas;
- interference with Event systems, equipment, badges or security arrangements;
- obstruction of aisles, emergency exits, entrances, stages or booths;
- conduct that creates a safety, security, legal or reputational risk; and
- any unlawful activity.
14. Harassment and Discrimination
14.1 AIM is committed to providing a professional and respectful Event environment.
14.2 Harassment, bullying or discriminatory behaviour based on gender, gender identity, sexual orientation, disability, age, appearance, race, ethnicity, nationality, religion or any other protected characteristic will not be tolerated.
14.3 Harassment includes offensive or derogatory comments, inappropriate sexual language or imagery, unwanted advances, inappropriate physical contact, deliberate intimidation, stalking or following, harassing photography or recording, repeated unwelcome communication, and retaliation against a person who reports misconduct.
14.4 A Participant asked to stop inappropriate behaviour must comply immediately.
14.5 Concerns may be reported to the AIM helpdesk, designated Event representative or venue security personnel.
15. Removal, Ban and Enforcement
15.1 Where AIM reasonably believes that a Participant has breached these Terms or created a safety, security, legal or operational concern, AIM may issue a warning, stop the relevant conduct, restrict access to a session or area, confiscate or deactivate the Event badge, remove the Participant from the venue, cancel the registration, prohibit the Participant from attending future AIM events, prohibit or blacklist the associated organisation from future AIM events, notify the Participant’s employer or organisation, and report unlawful conduct to the police or other authorities.
15.2 Participants removed or banned due to misconduct or breach of these Terms shall not be entitled to a refund, credit or compensation.
15.3 AIM may remove a Participant without first issuing a warning where the conduct involves violence, harassment, badge misuse, fraud, unauthorised entry, unlawful behaviour or an immediate safety or security concern.
15.4 AIM’s decision regarding conduct, removal, admission and future participation shall be final for operational purposes.
16. Security and Prohibited Items
16.1 Participants and their belongings may be subject to reasonable security screening.
16.2 AIM or venue security may refuse entry to prohibited, dangerous or suspicious items.
16.3 Prohibited items may include weapons, explosives, illegal substances, hazardous materials, drones, large banners, unauthorised professional recording equipment, and any item prohibited by the venue or applicable law.
16.4 Participants are responsible for their belongings at all times.
16.5 Unattended or suspicious items may be removed, inspected or handed over to security authorities.
17. Health and Safety
17.1 Participants attend the Event voluntarily and are responsible for assessing their own health and ability to participate.
17.2 Participants must follow all health, safety and emergency instructions issued by AIM, the venue or competent authorities.
17.3 Participants must immediately notify Event staff or security personnel of any accident, injury, unsafe condition or emergency.
17.4 AIM may refuse entry to or remove any person whose condition or conduct reasonably appears to present a significant risk to themselves or others.
17.5 Emergency medical assistance may be arranged where reasonably available. Participants shall remain responsible for any ambulance, hospital, medical or treatment expenses incurred.
18. Personal Property
18.1 Participants are responsible for their personal belongings, devices, documents, luggage and valuables.
18.2 AIM, the venue, sponsors and service providers shall not be responsible for the loss, theft or damage of personal property, except where such liability cannot legally be excluded.
18.3 AIM does not guarantee the recovery or return of lost property.
19. Photography, Audio and Video Recording by AIM
19.1 Cypher is a public professional event at which photography, filming, audio recording, livestreaming and broadcasting may take place.
19.2 By registering for and attending the Event, Participants acknowledge and consent that they may be photographed, filmed or recorded during the Event.
19.3 AIM and its authorised representatives, partners and media teams may use Event photographs, footage and recordings for Event documentation, news and editorial coverage, livestreams and broadcasts, Event reports and archives, AIM’s websites and social-media channels, marketing and promotion of Cypher, promotion of future AIM events, and AIM’s corporate and communication materials.
19.4 Such material may be edited, reproduced, published, displayed and distributed in any media or format without further approval or payment to the Participant.
19.5 Participants acknowledge that AIM may not be able to exclude an individual from general crowd photographs, wide-angle recordings, stage footage, livestreams or public-area coverage.
20. Recording by Participants
20.1 Participants may take reasonable personal photographs in permitted areas, provided that they do not disrupt the Event, obstruct another person’s view or movement, violate another person’s privacy, record confidential or restricted content, use prohibited professional equipment, or disregard instructions issued by AIM, the venue or a speaker.
20.2 Audio or video recording of complete sessions, presentations, workshops or demonstrations is prohibited unless AIM and the relevant speaker have expressly authorised it.
20.3 AIM may prohibit photography or recording during particular sessions or within specified areas.
20.4 Participants must immediately stop recording when instructed.
21. Event Content and Intellectual Property
21.1 All Event names, branding, logos, photographs, videos, recordings, designs, graphics, session materials, website content and other Event-related materials are owned by or licensed to AIM or the relevant content owner.
21.2 Participation in the Event does not transfer any intellectual-property rights to a Participant.
21.3 Participants may not reproduce, publish, distribute, sell, commercially exploit, modify or create derivative works from Event content without prior written permission from AIM or the relevant rights holder.
21.4 AIM does not guarantee that presentation slides, session recordings or other materials will be made available after the Event.
22. Sponsors, Exhibitors and Third Parties
22.1 Sponsors, exhibitors and partners participating in the Event are independent third parties.
22.2 Any interaction, demonstration, transaction, offer, contest, giveaway, meeting or arrangement between a Participant and a sponsor, exhibitor or third party is undertaken at the Participant’s discretion.
22.3 AIM does not guarantee or endorse any third-party product, service, offer or representation merely because that third party participates in or sponsors the Event.
22.4 Participants must not conduct unauthorised marketing, lead collection, recruitment, canvassing or distribution of promotional materials inside the Event.
23. Collection and Use of Participant Data
23.1 AIM may collect and process information submitted during registration or participation, including the Participant’s name, age or age confirmation, organisation, designation, email address, telephone number, city or country, professional profile, ticket and payment information, dietary or accessibility information voluntarily provided, and attendance and Event-engagement information.
23.2 AIM may use this information to process and verify registrations, issue tickets, badges and access credentials, process payments and generate invoices, communicate Event updates and logistical information, manage entry, security and attendance, provide Event services and ticket benefits, facilitate professional networking, conduct surveys, feedback, analytics and Event reporting, prevent fraud and badge misuse, enforce these Terms, comply with legal requirements, and communicate information regarding AIM’s events, publications, programmes and services.
23.3 AIM may share necessary Participant information with registration platforms, payment processors, venues, badge providers, security providers, technology providers, communication platforms and other vendors involved in organising and delivering the Event.
23.4 Participants acknowledge that personal data will be processed in accordance with AIM’s Privacy Policy and applicable law.
24. Sponsor and Partner Communications
24.1 By registering for Cypher and accepting these Terms and Conditions, the Participant expressly consents to AIM collecting, using and sharing the Participant’s registration, contact and professional information with Cypher’s sponsors, partners and exhibitors.
24.2 Such information may include the Participant’s name, organisation, designation, business email address, telephone number, city or country, professional profile, and Event participation and engagement information.
24.3 AIM, its sponsors, partners and exhibitors may use this information to contact the Participant regarding Event-related information, professional networking opportunities, relevant products and services, industry content and reports, demonstrations, invitations, upcoming events, partnership opportunities, and professionally relevant business opportunities.
24.4 Participants also acknowledge that where they permit a sponsor or exhibitor to scan their badge, visit or interact with a sponsor booth, share a business card, submit information through a sponsor activity, attend a sponsored session, participate in a contest, survey or giveaway, or otherwise provide information directly to a sponsor or partner, the relevant sponsor or partner may collect and process that information in accordance with its own privacy policy and applicable law.
24.5 By accepting these Terms and Conditions, the Participant confirms that they understand and agree to such collection, use, sharing and communications.
25. Event Communications
25.1 Participants agree to receive communications relating to registration confirmation, payment and invoicing, tickets and badges, venue and entry instructions, agenda and schedule updates, speakers and programme information, safety and security notices, sponsor and partner information, Event applications, feedback and surveys, post-Event communication, and other relevant AIM events, content and services.
25.2 Communications may be sent by email, telephone, SMS, WhatsApp or other contact details provided during registration.
26. Payment and Taxes
26.1 Ticket prices may be subject to applicable taxes, payment-gateway fees and processing charges.
26.2 Registration will be confirmed only after successful payment and issuance of confirmation by AIM or its authorised ticketing partner.
26.3 Participants are responsible for ensuring that payment and billing information is complete and accurate.
26.4 AIM may cancel registrations associated with failed, reversed, disputed, fraudulent or unauthorised payments.
26.5 Requests for GST invoices or invoice corrections must be submitted within the timeline specified during registration.
26.6 AIM shall not be responsible for incorrect invoices resulting from inaccurate information supplied by a Participant.
27. Complimentary and Promotional Passes
27.1 Complimentary, discounted, promotional, media, speaker, jury, volunteer and invitation-only passes may be subject to additional eligibility and attendance requirements.
27.2 Such passes have no cash value and cannot be resold, refunded, exchanged, shared or transferred without AIM’s written approval.
27.3 AIM may revoke a complimentary or promotional pass where eligibility requirements are not met or the pass is misused.
28. Travel, Accommodation and Visa Arrangements
28.1 Travel, transportation, accommodation, meals outside the stated Event inclusions, visa arrangements and related expenses are not included as part of the Event ticket.
28.2 Participants are solely responsible for making and paying for their own domestic or international travel, local transportation, hotel or other accommodation, visa and immigration requirements, travel insurance, medical insurance, and incidental expenses.
28.3 AIM does not provide, arrange or guarantee visas, accommodation or travel as part of the Event ticket.
28.4 Any assistance, recommendation, invitation letter or supporting document provided by AIM shall not constitute a guarantee of a visa, travel permission, accommodation booking or entry into India.
28.5 Visa refusal, travel disruption, transport cancellation, accommodation cancellation or inability to travel shall not entitle a Participant to a refund or credit.
29. Accessibility and Dietary Requirements
29.1 Participants requiring accessibility support should contact AIM sufficiently in advance of the Event.
29.2 AIM will make reasonable efforts to accommodate requests, subject to venue facilities, operational feasibility and advance notice.
29.3 Participants should communicate dietary requirements and food allergies in advance where meals are included.
29.4 AIM cannot guarantee an allergen-free environment.
30. Disclaimer Regarding Event Information
30.1 Event sessions and materials are provided for general informational and educational purposes.
30.2 Nothing presented during the Event constitutes legal, financial, investment, medical, technical, cybersecurity or other professional advice.
30.3 Participants must independently evaluate any information presented before relying upon or acting on it.
30.4 AIM does not warrant that Event content will be accurate, complete, current, error-free or suitable for a particular purpose.
31. Limitation of Liability
31.1 To the maximum extent permitted under applicable law, AIM and its directors, employees, representatives, contractors and affiliates shall not be liable for indirect, incidental, special, consequential or punitive losses arising from or connected with the Event.
31.2 This includes loss of profit, revenue, business or opportunity, loss of data, travel or accommodation expenses, loss or damage to personal property, inability to attend a session, reliance on Event content, conduct of another Participant or third party, and changes to the Event programme.
31.3 To the extent permitted by law, AIM’s total liability arising from a Participant’s registration or attendance shall not exceed the ticket amount actually paid by that Participant.
31.4 Nothing in these Terms excludes or limits liability that cannot legally be excluded or limited.
32. Indemnity
32.1 To the extent permitted by applicable law, the Participant agrees to indemnify AIM against third-party claims, losses, damages and reasonable costs arising directly from the Participant’s unlawful conduct, personal injury or property damage caused by the Participant, badge sharing, impersonation or unauthorised entry, infringement of another person’s rights, unauthorised recording or use of Event content, or material breach of these Terms and Conditions.
33. Third-Party Platforms
33.1 Registration, payment, communication, Event applications or other services may be provided using third-party platforms.
33.2 Use of such platforms may also be governed by the relevant third party’s terms and privacy policy.
33.3 AIM shall not be responsible for the independent acts, omissions, system failures or data practices of a third-party provider except to the extent required under applicable law.
34. Amendments to These Terms
34.1 AIM may update these Terms where reasonably necessary due to changes in law, Event arrangements, venue requirements, security considerations or operational requirements.
34.2 Material changes may be published on the Event website or communicated to registered Participants.
35. Severability
35.1 If any provision of these Terms is held to be invalid, unlawful or unenforceable, that provision shall be modified or interpreted to the minimum extent necessary.
35.2 The remaining provisions shall continue in full force and effect.
36. No Waiver
Failure by AIM to enforce any provision of these Terms shall not constitute a waiver of that provision or AIM’s right to enforce it subsequently.
37. Governing Law and Jurisdiction
37.1 These Terms and Conditions shall be governed by the laws of India.
37.2 Subject to rights and remedies available under applicable law, courts in Bengaluru, Karnataka shall have exclusive jurisdiction over disputes arising from these Terms or participation in the Event.
